We are looking for someone to join our Technical Service Department working as administrative support.  This is a full-time fixed term position of 13 months, ideally commencing early November to ensure the successful candidate gets a solid handover and training period before the person currently in the role heads off on maternity leave in December.  The role is supporting our Service Manager and three Service Technicians in coordinating service/repair work and liaising with customers.

The ideal candidate will have previous experience in an admin support role, be technically minded and highly organised.

Location: Noble Park, Melbourne

Your responsibilities

  • Liaise with internal and external customers to ensure optimum delivery performance on repair items.
  • Quote, invoice and dispatch all handpiece and small equipment service repairs, also ensuring that all repairs are correctly identified.
  • Ensure all quotations, invoicing and filing requirements are kept up to date, and repair items dispatched with minimum delay.
  • Ensure that repairs where necessary are identified as warranty prior to the placing of them into the repair system.
  • Assist in the booking of in-field service calls and the monitoring of appointments.
  • Liaise with Planning & Purchasing department on parts urgently required for completion of repairs.
  • Expediting outstanding repairs when parts become available.
  • Act as Power User / SAP expert for Technical Service Department division.

Your qualifications

  • Strong administrative background
  • Excellent communication and customer service skills
  • Exceptional problem solving skills and attention to detail
  • Previous SAP experience preferred
  • Intermediate computer skills
  • High level of motivation with the ability to work unsupervised
